New InfoTrends/CAP Ventures Research Indicates that Organizations are Ready to Tackle Document Output Costs


(Weymouth, MA) February 17, 2005… According to new research by InfoTrends/CAP Ventures, organizations are ready to take control of their document output costs in workgroup environments. 66% of survey respondents indicated a need to track and charge scanned documents to specific clients, departments, or individuals and 60% have considered applying an electronic solution to automate those tracking processes. The results of this study are now available in the completed research report entitled Organizations are Ready to Tackle Document Output Costs in the Office.

This study defines interest and commitment levels of end-user customers for document output tracking applications and related document assessment services. 302 end-users were asked specific questions regarding pricing expectations, plans for implementation, and expected return on investment for these solutions. End-users represented organizations from more than a dozen vertical industries and businesses of all sizes, including small (1 – 99 employees), medium (100 – 999 employees), and large (1,000+ employees).

“The majority of customers have no idea how their workgroup and desktop printers are being used because there has not been an effective system or set of mainstream tools for tracking the output they produce,” commented Joel Mazza, a Director at InfoTrends/CAP Ventures. “Opportunities exist for vendors and service providers that can clearly articulate the benefits of implementing document output tracking and management solutions. Customers are receptive to these solutions and feel that they can capture substantial savings.”

Key findings of the study include:

  • Although they are not considered the most expensive platform for total cost of ownership, networked printers were the devices that respondents were most interested in monitoring with a document output tracking solution.
  • Color is important to a significant majority of customers, but it is also considered more expensive and a likely driver for moderately or significantly increasing the cost of an organization’s output.
  • Less than half of respondents have heard of or are familiar with document auditing and assessment services for the office, with respondents from large enterprises being most familiar with them.
  • When asked to assess the benefits of outsourcing a document tracking solution, our survey participants most commonly cited lower administrative costs, followed by lower up-front capital costs.
